View or Update Your Tax Withholding Elections

Designate the amount you wish CCA to withhold from each paycheck in order to meet your federal and/or tax burden using the Withholding Elections report.

This report displays your federal, state, and local tax withholding elections, as well as any other tax allocations (each in separate tabs) on file.

You can modify your federal tax withholdings from this report. You can also update your state and/or local withholdings to a limited extent (if necessary), but you are encouraged to coordinate with the payroll office before proceeding with these changes.

Update your federal withholdings

1 Run the 'Withholding Elections' report

You can access the 'Withholding Elections' report here.

You can also find this report within the Pay worklet or by typing 'withholding elections' into Workday search.

2 Select 'Federal Elections'

3 Select 'Update'

4 Set the 'Effective Date'

This is the date from which the change will take effect. After selecting a date, click 'OK' to proceed.

5 Review information at the top of the screen

Update your legal name and/or home address if needed.

6 Download a blank W-4 form to calculate your withholdings (if needed)

If you need to calculate your withholdings, select 'View Blank Form.'

Click the document link popup to view the blank form when it’s ready (it will also be available in your Workday notifications).

7 Reference the blank W-4 form (if needed), then return to the 'Withholding Elections' report

When viewing the blank W-4 in Workday, you can download or print the form using the options in the toolbar.

Exit the modal view by selecting the back arrow.

You can reopen the form from a link within your notifications, or from the 'My Reports' report.

8 Select 'Marital Status' from the dropdown

9 If you have multiple jobs or your spouse works, do only one of the following:

  1. Use the IRS Tax Withholding Estimator for the most accurate withholding. If you (or your spouse) have self-employment income, including as an independent contractor, use the estimator.

  2. Use the Multiple Jobs Worksheet (on page 3 of the blank W-4 form), and enter the result in the 'Extra Withholding' field in Workday.

    Complete Steps 3-4(b) on Form W-4 for only ONE of these jobs. Leave those steps blank for the other jobs. (Your withholding will be most accurate if you complete Steps 3-4(b) on the Form W-4 for the highest paying job.)

  3. If there are only two jobs total, check the 'Multiple Jobs or Spouse Works' box in Workday. Do the same on the W-4 for the other job. (This option is accurate for jobs with similar pay; otherwise, more tax than necessary may be withheld.)

10 Claim dependents (as needed)

Fill out the fields under the 'Claim Dependents' section in Workday, according to the number of qualifying children and other dependents you will be claiming for the year.

Use the 'Override Total Dependent Amount' field if you wish to adjust the calculated total.

11 Withhold other non-job income

If you want tax withheld for other income you expect this year that won’t have withholding, enter the amount in the 'Other Income (not from Jobs)' field.

This may include interest, dividends, and retirement income.

12 Specify deductions if you are not using the standard deduction

If you expect to claim deductions other than the standard deduction and want to reduce your withholding, use the Deductions Worksheet on page 3 of the blank W-4 form, and enter the result in the 'Deductions' field in Workday.

13 Specify any extra withholdings

In the 'Extra Withholding' field, enter any additional tax you want withheld each pay period (including withholdings to account for multiple jobs).

14 Specify whether you are exempt from federal income tax

Check the 'Exempt' box only if you had no federal income tax liability in the previous tax year and you expect to have no federal income tax liability in the upcoming tax year.

By checking the 'Exempt' box you will have no federal taxes withheld.

15 Specify whether you are a nonresident alien

If you are a nonresident alien, see IRS Notice 1392 for specific instructions on filling out your W-4. In Workday, check the 'Nonresident Alien' box, and make any adjustments as needed to the withholdings form fields.

16 Review and submit the form

Review the Workday form fields, check the 'I Agree' box, then select 'OK' to submit.

17 View/print your completed W-4 (as needed)

You can print your completed W-4 after saving it.

  1. Select 'View Details' in the submission confirmation popup.

  2. Select 'Details and Process' to show detailed information.

  3. Select the 'Details' tab (if needed).

  4. Select 'View / Print' to generate a downloadable pdf of your completed W-4.

  5. Click the document link popup to view your W-4 when it’s ready (it will also be available in your Workday notifications).
