Working with Minors On Campus & Background Checks

Last updated on Apr 09, 2024

All employees working with children/minors (any person under the age of 18) must meet several requirements designed to ensure safety for all parties. Information about those requirements and links to resources are provided on this page. These requirements must be met prior to the start of work.

Live Scan Electronic Fingerprinting Instructions

A Live Scan electronic fingerprinting check (as well as a background check) is required of all employees, including student workers, who are working with minors. Live Scan can be done at a variety of locations across California. More information can be found in the Live Scan FAQs.

All employees (including students, faculty, and volunteers) who will be working directly with, supervising, chaperoning or otherwise overseeing minors in CCA-sponsored programs or activities must complete and clear a Live Scan fingerprinting check prior to the program or activity start date, in accordance with the CCA Mandated Reporter for Child Abuse & Neglect Policy. All individuals authorized to work with minors on a regular basis must complete a Live Scan check and a background check on an annual basis. Individuals who have not completed these checks will not be permitted to participate in College-sponsored activities involving minors.

Please note that Live Scan background checks completed for other organizations are not valid for CCA’s purposes, as results cannot be shared with CCA.

Live Scan Instructions

  1. Prior to getting fingerprinted, complete the Live Scan application (note that the pre-populated Live Scan application form cannot be used by Third Party Programs and individuals not affiliated with CCA). Information on how to complete the Live Scan application form, including a sample form, is also available in the Live Scan FAQ under question 9.
  2. Bring the completed application form and a government-issued ID, such as a U.S. Driver's License, U.S. passport or foreign passport with U.S. visa, to a Live Scan fingerprinting location. You can find locations for Live Scan fingerprinting, including associated fees, via the California Department of Justice.
  3. HR will ensure that employees have cleared the required Live Scan background checks by checking the staff member’s Live Scan clearance status in the Protection of Minors Management System through the Department of Justice (DOJ).

ADP Background Checks for Study Abroad Travel Program Instructors

Annual background checks through ADP are required for faculty teaching abroad. This is to meet CCA insurance and liability requirements for educational travel programs. This ensures that the College has documentation of individuals who are acting as agents of CCA while abroad for official CCA business.
