We collaborate with program partners to evaluate academic needs and inform improvements to the academic experience.
We strongly recommend regular meetings and frequent communication between program chairs, divisional assistant directors, and academic advisors to strengthen relationships and the effectiveness of our collaboration.

How often should I meet with Advising?
We recommend that you meet with Advising every two weeks. However, smaller programs may choose to meet only once a month, potentially communicating more frequently via email.
Meetings will be attended by the academic advisor assigned to your program and a member of advising leadership, who provides administrative guidance and support to the on-campus advisors, program chairs, and divisional deans. We will provide an agenda, although everyone is responsible for adding agenda items and maintaining notes.
Which advisor is assigned to my program?
Academic advisors and advising leadership are assigned to programs by division (see Advisor Assignments). Advisors take on the majority of student appointments, while advising leadership provides administrative guidance and support to the on-campus advisors, program chairs, and divisional deans. Advising leadership also takes student appointments and works closely with students who have more complicated situations.
How do I find declared majors in my program?
We recommend the following Workday reports to easily identify declared majors in your program:
- Find CCA Students - To see all active students, including those on leave of absence (Tip: Use the filters on the left to isolate certain populations of students)
- Student Details - To see all registered students for a specified term, including their CCA email addresses (Tip: Select a Column header to filter or sort by it)
To view a student's progress toward degree completion, we recommend reviewing their academic record and academic progress in Workday. Although the following instructional guides are written for students, we think they are helpful for chairs, as well. Instead of accessing the academic record and academic progress report through the Academics Hub, you should use the Academics tab on an individual student's profile in Workday.
How do I find declared minors in my program?

How do I track accepted and deposited incoming students?
To monitor applications and students who have been admitted, deposited, and enrolled, we recommend the following Workday reports:
Please note that applicants should be referred to Admissions (admissions@cca.edu) for administrative support, including questions related to academic requirements, planning, and registration. Once they have deposited, incoming students may be referred to Student Services (ask@cca.edu).
Where can I find information on my program requirements and courses?
Degree requirements and the recommended sequence for satisfying them are available in the program-specific course guides. Please note that students are only responsible for completing degree requirements associated with the academic year in which they started attending CCA.

Who communicates course recommendations to my students?
Program chairs should communicate course recommendations to their students. Advising is happy to help you identify and review students who are eligible for and need a certain course. However, official communication should come from program chairs. When sending program-wide emails, we recommend the following best practices:
- Send from your CCA email address and include student CCA email addresses only (see Communication and Correspondence Policy)
- Bcc students and cc academicadvising@cca.edu (we're happy to reinforce any messaging you share with your students in our meetings with them)
How do I change or cancel a course section?
Although we know you make every effort to minimize changes after the course schedule has been published, we also understand that circumstances may arise that require a course section to be changed or canceled. Please take these steps as soon as possible to initiate the change or cancelation:
Step 1
Consult with Advising to determine the potential consequences of changing or canceling a course section. If student are registered for the course, please work with Advising to identify course alternatives as needed in advance.
Step 2
Email asap@cca.edu with an official request to change or cancel a section, including the reason (e.g., instructor availability, low enrollment), as soon as
- If students are not registered for the course, no other action is necessary.
- If students are registered for the course, please provide instructions for the necessary registration adjustments.

How many of my students need a course in a future semester?
We try our best to review academic records and update academic plans before and after every registration period, so that you can make data-informed enrollment management decisions. We recommend the following Workday reports:
- Course Demand by Plan - Excluding Withdrawals - To identify students who need a course or requirement in a specific semester (Tip: Search by Academic Requirement and not Course Definition)
- Students who need (x) course for academic requirements - To identify students who may be eligible for a course based on previously completed and/or registered courses
Our regular meetings are the perfect place to explore these reports and their various uses. Advising can also help you review lists of students to confirm accuracy and identify nuances that might not be apparent when running the reports.
What should I review before and after the course schedule is published?
Although we know you review the course schedule and request changes via asap@cca.edu before it is published, we also ask that you conduct a final review after it is published. Please pay special attention to:
- assigned instructor(s)
- meeting pattern
- location
- capacity and reserved capacity
- title and description
- cross-lists and shared/non-shared capacity
- tags, especially software tags, TA-eligible, and minors
