Technical Offboarding for Departing Students
Before you begin
CCA students who are graduating or departing from CCA should consider how to best prepare themselves regarding your system access, data, and saved work. Please review each section below, and take action to be sure that your saved work and information is not lost when you leave CCA.
CCA Login
Your CCA username and password used to login to most websites will remain available to you after leaving CCA, with the following timelines:
Status |
Availability |
---|---|
Graduate or verified alumni status |
Continues to be available indefinitely |
Withdrawn or Dismissed |
3 months after the date of withdrawal or dismissal |
Non-Degree Students |
3 months after end of last class enrolled |
Your CCA login will give you access to any system that continues to be available to you, including the Portal, managing your CCA Account, and accessing Library systems (alumni only). However, your access to specific systems may be different, so even while you have a CCA username and password, you will not be able to access all of the systems you could as an active student.
CCA Google Account
Your @cca.edu email address and associated Google account, which includes Gmail, Drive, Calendar and Photos, will be deleted according to the following timelines:
Status |
Availability |
---|---|
Graduate |
12 months after date of graduation |
Withdrawn or Dismissed |
3 months after the date of withdrawal or dismissal |
Non-Degree Students |
3 months after end of last class enrolled |
We recognize that during your time as a CCA student, you may have accumulated important work and information in this account, and will want to take it with you. This guide will walk you through how to prepare for your CCA Google Account deletion, including exporting all of your saved files and data:
Software Access
The Creative Software Portal and the Student VPN are only available to faculty and students currently enrolled at CCA. They are not available to alumni, so please save your files and make alternate arrangements for software access. Loss of access coincides with graduation, so please plan in advance to avoid interruption.
Your Adobe Creative Cloud account under CCA’s license will be discontinued according to the following timelines:
Status |
Availability |
---|---|
Graduate |
6 months after date of graduation |
Withdrawn or Dismissed |
3 months after the date of withdrawal or dismissal |
If you’ve saved any assets in this account, please review the Adobe Asset Migration Guide for more details.
Workday
You will retain access to Workday for the purpose of generating unofficial transcripts according to the following timelines:
Status |
Availability |
---|---|
Graduate |
12 months after date of graduation |
Withdrawn or Dismissed |
3 months after the date of withdrawal or dismissal |
Non-Degree Students |
3 months after end of last class enrolled |
Updating Personal Contact Information
It’s important that we are able to get in touch with you after you are no longer an active student. Your personal email will also be used when we delete your items in the VAULT digital archive according to its retention plan; having no email means your items will be deleted without notice.
During the offboarding period, we encourage all departing and graduating students to update their personal contact information in Workday so we can stay in touch.
Library Materials and Equipment Returns
If you have borrowed any equipment from the Media Center or materials from the Library, it’s important to return these items PRIOR to your departure from CCA. Not doing so could result in a hold being placed on your diploma.
Zoom
Zoom is only available to current CCA staff, faculty, and students, and your Zoom access will be deactivated upon your departure from the institution.
