Move-Out Process

  • Emails regarding move out process, information, Express Check outs and Move Out appointments will be sent mid-April for Spring 2023
    • Closing community meetings will be held within the two weeks prior to Move Out Day
  • Residents who's HLA ends on May 6th, by noon will be assigned a move out appointment with an RA, unless opting to do an Express Check Out prior to May 6th
  • Graduating residents will receive information regarding their move out day in April, process will be similar to move out
  • Summer residents will receive information regarding their summer assignment in April

  2. RAs will be moving out residents by their prescribed times within the day between 8:00am - 12:00pm

  • Each resident will be allowed up to two (2) helpers to support their move out appointment or move in appointment or transfer day for the purpose of assisting the resident to move
    • All helpers must wear face coverings and check in with their host resident at the front desk of the assigned building to obtain a CCA visitor sticker
    • If helpers test positive for COVID or experiencing any symptoms prior to move out day, please do not enter the halls and make arrangements for someone else to help
  • There are improper check out fees and additional fees for residents who do not move out by their assigned move out day (see more information below)
  • Communication regarding Summer 2023 assignments will be communicated to 12 month contracts, and CCA summer residents via housingdining@cca.edu around April


Fall Move Out Day

For Fall Graduating residents, please read carefully:

  • All Fall graduating residents must move out no later than Thursday, December 15th, by noon - which is Fall 2022 Move Out Day
    • All 12 month contracts and residents living in the halls through Spring 2023 do not have to move out on this date
    • Res Ed will reach out to Fall graduating residents directly to be prescribed an RA check out appointment between 8:00am - 12:00pm
  • For residents wanting to move out the week prior to December 15th, they will need to stop by the front desk of their assigned building and complete an Express Check Out with the front desk, between 8am - midnight
    • Allows residents to leave at their convenience prior to Move Out Day, by checking out of the front desk of the building
        • You must pack up and remove all your belongings from your room
        • You are responsible for cleaning the space and removing your belongings and trash
      • Your unit will be inspected after you move out, and you will be charged for any damages, missing items, and/or cleaning charges
        • For suites and double studios: any damages, missing items, and/or cleaning that no one claims responsibility for will be divided equally among those living in your unit
    • Residents electing an express check out, will need to submit a google form at the desk, and return their keys (if applicable) in a key envelope with their full name, unit # and letter, and date and time of move out
      • For Blattner residents: fob key, mail key, and suite keys must be returned to the front desk (there is a drop box location by the REC Office)
      • For Founders residents who live in suites: suite keys must be returned to the front desk (there is a drop box location in front of the desk, by the Luxer Mail system)

Move Out procedure for Fall Graduating residents:

  1. All Fall graduating residents must move out on Thursday, December 15th, by noon on their assigned move out day, which is based on their housing contract
  2. Res Ed (Building RECs) will communicate with Fall graduating residents directly to prescribe RA move out appointments between 8:00am - 12:00pm
  3. Res Ed will be holding "Closing Meetings" facilitated by the RAs in the weeks prior to the Move Out Day to keep residents informed on the move out process and procedure. It is important that residents attend closing meetings to stay informed or reach out to their RA if they have questions
    1. If a resident is unable to attend their floor closing meeting for their building, they can attend other floor closing meetings
  4. Prior to the move out appointment, all residents must remove all their personal belongings out of their unit by their move out time - any personal belongings should not be in the unit at the start of their appointment as this will delay the move out process
  5. All residents are responsible to clean their side of their unit and shared spaces - the unit should be returned in the same condition during move in, clean and good condition
  6. All residents must be outside by their unit door by their move out time, so the RA assigned can check the resident out of the halls. The RAs will inform the resident to return keys (if applicable), and help answer any remaining questions before the resident leaves the hall.
    1. Once the resident is checked out by the RA, the resident will lose access to their unit and can not reenter the unit
  7. For any resident living in suites and have suite keys to their units (mail key and fob key if applicable), this must be returned to the front desk of their assigned building after their RA move out appointment is complete.
  8. Check CCA email regularly from housingdining@cca.edu and from their building RECs for upcoming information regarding move out day.

Please start early, pack and plan accordingly to prepare for your move out day!


Spring Move Out Day

For Spring residents, please read carefully:

  • All Spring residents who do not have a 12 month contract or living in the halls for Summer, must move out no later than Saturday, May 6th, by noon - which is Spring Move Out Day
    • If you are a 12 month contract or moving in as a summer resident, housingdining@cca.edu will communicate to you directly
    • Res Ed will reach out to Spring residents directly to be prescribed an RA check out appointment between 8:00am - 12:00pm
  • For residents wanting to move out the week prior to May 6th, they will need to stop by the front desk of their assigned building and complete an Express Check Out with the front desk, between 8am - 11:45pm
    • Allows residents to leave at their convenience prior to Move Out Day, by checking out of the front desk of the building
        • You must pack up and remove all your belongings from your room
        • You are responsible for cleaning the space and removing your belongings and trash
      • Your unit will be inspected after you move out, and you will be charged for any damages, missing items, and/or cleaning charges

Summer Resident Move Out Day - Saturday, August 13 by 12pm

For Summer residents only, please read carefully:

  • Summer residents (Summer agreement ends, residents who do not have FA23 assignments & 12 month agreement ends, residents who do not have FA23 assignments) must move out on Saturday, August 13, 2023 by 12pm

Please review our Move Out process for Summer residents:

  1. All Summer residents must move out by 12:00pm, noon on their assigned move out day, which is based on their housing contract
  2. Res Ed (Building RECs) will communicate with Summer residents directly to prescribe RA move out appointments between 8:00am - 12:00pm

Summer Transfer Day - Friday, August 11th (SU23 assignments move into FA23 assignments)

Residents who are currently living in Founders Hall over the summer, who have active Fall 2023 assignments will receive communication from housingdining@cca.edu of their Fall 2023 assignment.

Please review below on the assignment transfer process:

  • Residents will have 8am - 3pm to make their room transfer during Summer Transfer Day
  • Residents living in Founders Hall who will need to move to a different floor or unit or Blattner Hall (FA23 assignment) will need to ensure their summer assignment is clear of personal belongings, clean and good condition
    • Residents will have access to both of their assignments during transfer day, to help with transferring and moving their personal belongings into their new unit.
    • When complete, the resident will need to stop by the front desk to officially check out of their SU23 assignment which will end their access to their SU23 assignment
      • If a resident lived in the suites, the suite key must be returned to the front desk. If not returned, the resident is responsible for charge of replacement.
    • The resident will then need to inform the front desk that they are checking into their FA23 assignment which will continue their card access to their FA23 assignment
      • If a resident is living in the suites. for their FA23 assignment, they will need to pickup their suite keys at the desk.
  • There will be moving bins available to support residents transferring

After Summer transfer day, Building Management will conduct damage walkthrough assessment for all SU23 assignments who were scheduled to clear out. Improper check out fees apply if residents are not out of their SU23 assignment by 3:00pm on summer transfer day.

Damage Charges

The 5 Most Common Charges include: 

  1. Improper Check-Out Fee: $125 + $50 per 30 minutes after the resident's move out appointment
  2. Trash Removal Fee: $30 Per Bag
  3. Walls - Holes/Damage: $40 per spot,  $≥125 per wall
  4. Fail to Defrost/Clean Fridge: $100
  5. Cleaning Fee: $≤250

All residents should make sure that they have thoroughly cleaned their unit before moving out to prevent any cleaning / damages charges to their account. If a resident is living in a shared space, charges would be split among the roommates / suitemates, unless one of the resident(s) claims responsibility in the notes of the Room Condition Report via Symplicity. Roommates or suite mates should speak to one another in advance to discuss any shared damages or shared responsibility to the unit, prior to moving out of the halls.

IMPROPER CHECK OUT FEES:

These fees are applied if residents do not move out in time or follow the designed move out procedure:

  • If applicable, if a resident does not return their suite keys (including mail key and fob key), the resident may be charged for an improper check out fee, and replacement and recore.
  • If a resident is not ready to be checked out at the time of their move out appointment, a resident may be considered an “Improper Check-Out”. This means that the resident will be charged $125.00 for an improper check out fee, in addition to being charged for any assessed damages assignable to their unit. We are expecting to move out residents in an orderly fashion, so being on time is critical!
  • If a resident stay in the building past 12pm noon during move out day, the resident will be charged $50 for every 30 minutes until they move out. We have a team of vendors coming in that helps us turn over the units for cleaning and repairs, so potential delays will cause disruption to our vendor's schedules. The amount will accumulate until the resident is officially checked out and physically out of the building.

Forwarding Your Mail

We strongly recommend that all residents who are moving out, directly contact businesses and people who send them mail and packages, that the residential address has changed, and change their mailing address at least two weeks in advance of their Move Out Day

  • Changing the address directly with the people who send mail will ensure the fastest and most accurate delivery of important and time sensitive material. Residential students will not be able to change their address via USPS (US Postal Service) as the residential halls are considered a residential business address, and can not be changed by the student
  • For students no longer living in the residential halls after Spring Move Out Day, we can no longer keep non-residential student's mail in the residential halls. We will be returning to sender any mail for non-residential students after their move out day

Trash Disposal & Donations

Trash rooms in Founders Hall and Blattner Hall will remain open two weeks prior of Move Out Day for residents scheduled to move out. In the last week prior to move out day, residents will be directed to discard their belongings in the debris bins outside of their respective buildings. Feel free to ask the front desk where the debris bin is located if you need help.


Please follow signage for proper disposal of any garbage, waste, recycles and compost. All residents must discard larger trash/recycling/compost items out to the debris bin outside their assigned building. Do not put your trash in the dumpsters across the street or non-CCA affiliated debris bins. If a resident sees someone in the bin, please let the front desk know so they can notify Public Safety as this is a hazard.

Cleaning checklist

ENSURE ROOM IS CLEAN AND IN GOOD CONDITION. Make sure to clean the room so that it is in the same condition it was when moved in. If there are any damages not mentioned in the Move In Room Condition Report that the resident filled out earlier in the semester then there might be an additional charge/fee. To view the list of possible charges for damages please visit the CCA portal.  All students should make sure that they have thoroughly cleaned their unit before moving out to prevent any cleaning / damages charges to their account.

Kitchenette (if applicable):

  1. Nothing should be left behind in the kitchenette areas
  2. Check / clean countertops and shelves
  3. Check / clean fridge and remove all personal items
  4. Check / clean sink area

Bathroom:

  1. Nothing should be left in the bathrooms
  2. Check / clean toilet
  3. Check / clean shower tub and faucets
  4. Check / clean all vanity mirrors to ensure nothing is left behind
    1. Wipe mirrors clean

Other:

    1. Common living area furniture wiped down, floors swept and mopped
    2. Empty trash, recycling, and compost bins using appropriate trash chutes in the trash room. Do not put trash in the hallways
    3. Defrost and unplug the mini-fridge. Suites units do not need to defrost
    4. Remove interior decorations, posters, signs, etc. from windows and walls
    5. Dust and wipe down shelves, wardrobe, and drawers
    6. Blinds and windows: All blinds should be dust-free and in good working condition. Charges will occur for the replacement of any blinds that are broken unless noted on the move-in condition form.
    7. Close and lock windows
      1. DO NOT LEAVE WINDOWS OPEN
    8. Move furniture to the original spaces. Moving fees will be charged for any furniture, not in the proper location.
    9. Please remember to leave behind: compost bin, recycling bin, trash bin and shower curtain. Failure to do so will result in a fee. Bins cost $30 per bin for replacement.
    10. Remove all personal items (double-check the drawers and closet, any storage)
    11. Clear off all door decorations and wipe down the bulletin board on the unit door.
    12. Ensure all lights, appliances are switched off, and windows closed shut
